Choose Table or Sheet Mapping When Exporting Numbers to Excel
A Numbers sheet can contain several separate tables. When the recipient uses Excel, the useful export decision is whether those tables should become separate worksheets or remain grouped according to the Numbers sheets.
Before exporting, make a short inventory: each Numbers sheet, the tables it contains and the purpose of each table. For example, a monthly sheet might contain transactions, a small assumptions table and a summary. That arrangement should be chosen deliberately in the Excel copy.
Choose the worksheet mapping
In Numbers on Mac, open the spreadsheet and choose File, Export To, Excel. Apple provides a worksheet-per-table or worksheet-per-sheet choice. If you choose separate worksheets for tables, you can also include a summary worksheet containing links to them.
Use the recipient’s task to decide. Someone analysing each table separately may prefer separate tabs; someone reviewing a sheet as one working area may prefer the sheet-based arrangement. If uncertain, export both options under clearly different names and compare them.
Review the password setting if the Numbers original is protected. Apple says its password applies to an Excel export unless changed or removed. Save the export to the intended folder; changes made in the exported spreadsheet do not update the Numbers original.
Inspect the actual Excel copy
Open the exported file in the recipient’s Excel environment where possible. Compare the tabs and table locations with your inventory. If a summary worksheet was included, follow several of its links and confirm they reach the expected tables.
Check a representative calculation and any important labels. A worksheet arrangement can be structurally correct while still being awkward for the person who must use it. Ask them to locate the assumptions and the final result without referring to your original Numbers window.
Keep the accepted mapping in the handover note, together with which file is now the working version. Preserve the Numbers source. Two independently editable copies need an agreed owner and update process so a later correction is not made in the wrong format.
