Inspect a Word Release Copy for Hidden Information
A Word file can contain more than the pages visible in its normal reading view. Properties, hidden text and review material may travel with an editable document. Before sharing a release copy, inspect what is actually inside that file.
The steps here use desktop Word for Windows. Preserve the original and inspect a separately saved copy: Microsoft warns that information removed by Document Inspector may not be recoverable with Undo. A clean delivery copy and an internal review record serve different purposes.
Remove only categories you have examined
Open File, Info, Check for Issues, Inspect Document. Choose the categories to inspect and run the check. Word can identify categories including document properties, revisions, comments, hidden text and headers or footers.
Read each result before using its Remove All button. A header may contain a required document title, and a watermark may be intentional. Treat a finding as something to assess, not automatic permission to delete everything in that category.
If the document still needs editorial approval, settle that first in the proper review copy. Hidden-information cleanup should not silently decide which disputed wording becomes final.
Inspect the result as a reader
Reinspect after the selected removals, then review the visible pages. Confirm that required headings, page numbers and document identifiers remain. Save, close and reopen the release copy so you know which file has been checked.
Document Inspector has limits. Microsoft specifically notes that its hidden-text check does not detect white text on a white background, and invisible-content inspection does not detect objects covered by other objects. Inspect unusual formatting and embedded material when the document’s history gives a reason to do so.
Do not describe an inspected file as guaranteed to contain no confidential material. Ordinary visible paragraphs can disclose information too. The useful outcome is a deliberate release copy whose content and detected hidden categories have both been reviewed for the intended recipient.
