Check Whether a Power BI Export Contains Summaries or Contributing Records
Two visible bars do not guarantee a two-row Power BI export. The visual may contain a hierarchy that is currently collapsed, and an export can represent more detail than the level on screen. Establish what one output row should mean before distributing the file.
Use an authorised practice report with three records: East/Repair/2 units, East/Install/3 units and West/Repair/5 units. Let the chart use a Region then Job Type hierarchy and sum Units. At the Region level it shows two bars of five units each, although the lower hierarchy has three combinations.
Identify the option and its grain
In Power BI Desktop, a visual's More options, Export data produces summarized data as CSV. The service offers additional choices when enabled. Summarized export retains the visual's aggregation and can include the full hierarchy, not only the current drill level. Applied visual filters also affect the exported data.
For the practice chart, inspect the saved file's headings and data rows. A summarized export at the Region and Job Type combination level can contain three rows, even though only two region bars were visible. Those three rows are still summaries; their count happening to equal the practice source count does not make them a guaranteed raw-record export.
Where the service actually offers Underlying data, it can remove an aggregate and include additional model data. Availability depends on permissions, report settings and model support. It is not a promise of every original source column or record; measures-only configurations, for example, need not produce row-level data.
Add a witness that separates summary from detail
Extend the practice source with another East/Repair line worth four units and update the report through its normal refresh process. The Region/Job Type summary should now combine the two East/Repair lines into six units. The source has four records but only three grouping combinations.
If an authorised underlying export is available for that simple model, inspect whether its record identifiers distinguish the two lines. If it is unavailable, document the limitation rather than treating the summarized file as an equivalent substitute or changing access controls just to obtain one.
Reconcile the relevant totals and filters, then inspect the saved file's row count and any truncation warning. Export limits mean a successfully created file need not contain every requested result. Also check the actual included columns before sharing: permitted viewing and the intended recipient's need are different scope decisions.
Keep the export option, hierarchy level, filter context and date with the file. Acceptance means the recipient can tell whether a row represents a group or a contributing record, without inferring that distinction from the current chart appearance.
