Find and Verify a Document Scanned With Windows Scan
A scanner making its usual noise does not prove that a usable file has been saved where you expect. Before scanning important paperwork, choose the destination and inspect one test result.
Open Windows Scan and select the intended scanner. If it is not installed, obtain the Microsoft app through its official Store listing or use the manufacturer's supported scanning software. Printing successfully from a multifunction device does not by itself confirm its scanning setup.
Match the source and destination
Choose the source that matches where you placed the document: flatbed or feeder where supported. Follow the device's markings for page orientation. Do not put delicate, stapled or unsuitable originals through a feeder simply because it is selected in the app.
Inspect the available file-type choices. Microsoft's Windows Scan instructions list image formats such as JPEG, PNG, TIFF and Bitmap. If your task requires a searchable or combined PDF, verify that the software you are using actually provides that workflow rather than assuming every scan will produce one.
Expand Show more and set Save file to to a folder you can identify. If you have not selected a destination, Microsoft's documented default is Pictures/Scans in the user folder. A known destination is especially useful when several Windows accounts use the same PC.
Inspect the saved file
After scanning, use View or open the chosen folder in File Explorer. Zoom in on small text, signatures and page edges. Check orientation, legibility and whether the entire document area was captured. For a collection of pages, count the originals and resulting files and confirm their order.
Give the result a meaningful filename and place it in the intended filing and backup location. Avoid putting private paperwork into a shared or synced folder by habit without checking who can access it.
Keep the original until the digital copy meets the purpose and any retention requirements you follow. If a result is missing, check the selected scanner, source and save folder before scanning the whole stack again.
