Keep an Access Crosstab Column Present When a Category Has No Records
A report may expect Open, Waiting and Closed columns every month. If its crosstab derives headings only from available data, a month with no Waiting records can change the output shape. A fixed heading list expresses the categories the report expects to display.
Start with a copy of an existing desktop Access crosstab and confirm which field supplies its column headings. Check the actual category spelling in the source; an unexpected space or renamed status deserves investigation before defining the list.
Set the expected headings at query level
Open the crosstab in Design View and press F4 for the Property Sheet. Click an empty area above the grid if needed so the selection is Query Properties. On General, enter the intended comma-separated values in Column Headings. Microsoft also documents PIVOT ... IN (...) in SQL view; a listed value absent from the pivot field produces an empty column.
For the three-status example, test a small source that contains Open and Closed records but none marked Waiting. Run the copied crosstab and inspect the three headings. The Waiting column should remain available even though there are no observations for it in that sample.
Keep an empty category different from an observed zero
Do not interpret the existence of a heading as proof of activity. Decide how the issued report should explain a category with no contributing records. A displayed zero and an empty result can carry different meanings, especially when a source file is incomplete.
In the disposable source, add one clearly identified Waiting record and rerun the query. Verify its contribution in the previously empty column, then remove the trial record. This tests the fixed shape together with the actual category mapping.
Check for source categories outside the declared list before issuing a report. If a new status is introduced, update the reporting contract deliberately rather than assuming an old fixed schema covers every future category.
Record the heading list and its purpose with the query. Confirm the downstream report reads the expected columns and that its period and row filters are still correct. Stable headings make a report easier to maintain, but they do not establish that the underlying period is complete.
