Check Which Screen Shows PowerPoint Speaker Notes
Presenter View is useful only when its notes appear on the intended private screen. Before an audience arrives, check both physical displays instead of assuming that the laptop and projector have been assigned the correct roles.
This workflow uses desktop PowerPoint for Windows with two displays. Prepare a harmless test slide and a clearly recognisable test note, such as “Presenter test note.” Avoid using confidential material while establishing which screen shows which view.
Enable Presenter View and start a real test
On the Slide Show tab, enable Use Presenter View and inspect the monitor selection available for the setup. Start the slideshow, then look at the laptop screen and the audience display separately.
Microsoft describes Presenter View as showing the presenter’s notes on one monitor while the audience receives the notes-free presentation on the other. Its multi-monitor guidance also notes that PowerPoint can switch the display arrangement to Extend when entering the slideshow.
If the audience display shows notes or editing controls, stop the test and correct the display assignment before continuing. Check the result again after changing the monitor or presentation controls; a selected setting alone is not verification.
Rehearse the actions that can change the view
Advance several slides, return to an earlier slide and end the show. Observe what appears on the audience screen at each stage. Keep unrelated windows and sensitive desktop content out of that screen’s workspace.
If you reconnect a cable, change a dock or move to another projector, repeat the test. The previous room’s successful setup is not evidence about a newly connected display arrangement.
Replace the harmless test content with the approved presentation only after both views are correct. Keep notes suitable for their intended private use, but do not treat Presenter View as a substitute for checking the actual output.
