Match a Data-Graphic Icon Rule to the Units of Its Shape Data
Before changing a progress symbol, establish whether its data uses whole percentages or fractions.
Use copied imported Shape Data in Visio Professional 2024 or 2021 for Windows. Retain three fictional input records for comparison.
Match the field and its scale
Open the Data Graphic Fields pane, select the intended field and choose an Icon Set from the Data Graphic gallery. Use Data, Configure to inspect its operators and values. Keep the rules non-overlapping for this trial.
Consider rules for zero, between 1 and 99, and exactly 100. Inputs 0, 50 and 100 fit an integer-percentage contract. With fraction inputs 0, 0.5 and 1, however, 0.5 does not enter the middle interval and 1 enters it despite representing completion.
Choose one agreed scale and make the rule values consistent with it. Recheck the three records before accepting the symbols; changing rule priority would not repair this unit mismatch.
Keep the meaning visible to readers
Ask the source owner what intermediate values are valid. A report allowing fractional percentages needs a deliberate rule for those boundaries, not an assumption that an example designed for whole integers covers every measurement.
Give the diagram a short legend describing the states in words. Review a completed item and an incomplete item with someone who understands the process; the visual categories should express their agreed meaning without requiring the person to infer it from colour alone.
Retain the input-scale note with the diagram. If the upstream export later changes from 50 to 0.5 for the same progress, that change should trigger a fresh mapping check. The aim is a documented relationship between data and symbol, not an icon that merely looks plausible today.
