Extract a Subprocess Without Losing the Overview-to-Detail Route
A crowded overview can make a process difficult to discuss. Before extracting detail, identify a self-contained section and write down where responsibility enters and leaves it. The diagram should become easier to follow without changing the agreed process.
In a copied Visio Professional 2024 or 2021 drawing for Windows, label detail shapes A, B and C, plus unrelated overview shape D. Record their connections before selecting.
Extract the intended subgraph
Select the detail shapes and choose Process, Subprocess, Create from Selection. They move to a new page linked from a replacement overview shape. Cross-functional detail pages include matching swimlanes and phases.
Locate A/B/C on the detail page and D on the overview. Ctrl-click the overview link or use its context-menu hyperlink; verify the selected section at the destination.
To add a return route, select a detail-page shape and use Insert, Hyperlink with the overview destination. The reverse link is a separate step.
Review the process boundary
Read the overview as if attending a handover meeting. A reviewer should know what the subprocess is responsible for before opening its detail. Give the representative shape a meaningful description rather than leaving the extraction’s purpose implicit.
Check the original responsibility boundaries against the detail page’s swimlanes and phases. Resolve a mismatch before extracting another section.
Keep the before-and-after checklist with the revision. Acceptance requires the intended shapes, the overview route and the process boundary to agree; a cleaner first page alone does not establish that the extraction was correct.
