Explain a Calc Total That Differs From Adding the Displayed Decimals
A total can be correct for the stored numbers while differing from a sum of the rounded figures visible on screen. Before changing formulas, establish whether the report intends to add full-precision inputs or already rounded line values. Those are different calculation rules.
Keep an untouched workbook copy. Select a few contributing cells and inspect their values or formulas with enough displayed decimal places to see what is actually being calculated. A two-decimal number format alone does not establish a two-decimal calculation policy.
Reproduce the difference in two rows
In a disposable sheet, enter 2.344 in A1 and A2, and sum them in A3. With calculation using the underlying values, the total is 4.688. If all three cells display two decimal places, the lines appear as 2.34 and 2.34 while the total appears as 4.69.
Adding only the displayed line values gives 4.68. The one-hundredth difference follows from rounding at different stages; it does not by itself show that a row was omitted or that the computer has a hardware fault.
Calc's Calculate settings include Precision as shown. LibreOffice explains that this changes calculations to use rounded displayed values. When it is disabled, calculation uses the underlying non-rounded numbers. Record its current state when investigating an inherited workbook.
Choose a policy with the document owner
Do not enable the setting merely to force one visible total to agree. Other formulas and charts can depend on the calculation policy too. Obtain the workbook owner's intended rule, including where rounding should occur and how much precision each input requires.
For a report that requires explicit rounded line amounts, make that calculation step visible in the model and retain the original inputs. For a scientific or operational model requiring full precision, explain why the displayed rounded lines may not add exactly to the displayed total.
Check several totals after an agreed correction, including a small example with a known answer. Reopen the saved copy and verify the same behaviour. Record the chosen rounding stage in the handover so another person does not reverse it as an apparent formatting fix.
